What your client receives

The email

• From: "Your Name via CrewRoo" (your company name, if your profile has no name). Replies go to your own email address.
• Subject: "Invoice {number} - {your company or name}".
• Body: your message, a line about the attached invoice and receipts for the tail number and dates, and a Total Due box. If you set a due date, "Due by" the date shows under the total.
• Attachments: see What's attached to an invoice email.

The invoice PDF

Page 1 — the invoice

• INVOICE with your details, the invoice number, the date, and the terms: Due on Receipt, or Due by the date you picked. See Create an invoice. The date is the day the invoice was created, in your time zone, and stays the same however often it's downloaded or resent.
• BILL TO — your client's name, address, and email.
• TRIP DETAILS (or REPORT DETAILS) — Trip # (the client trip number, if set), Aircraft, and dates.
• WORK DAYS — each billed day and per diem line (trips only).
• EXPENSE SUMMARY — a total for each category (Hotels, Travel, Meals, Misc).
• MILEAGE — each mileage entry.
• TOTAL DUE, then your NOTES.

Page 2 — the expense detail report (when there are expenses or mileage)

Every receipt and additional expense, grouped by category with date, paid-to, description, and amount, then mileage and TOTAL EXPENSES.

Flight log page (when any leg has logged times, fuel, or Hobbs)

A landscape FLIGHT LOG with each leg's times, fuel, and Hobbs, all times Zulu. See Log times, fuel, and Hobbs for a leg.

Emoji and special characters

The PDFs can't print every character. Emoji are left out, and letters or symbols the PDF font lacks are simplified — for example "Łukasz" prints as "Lukasz" and "→" as "->". Anything else becomes "?". The invoice still generates and sends.
