Scan a receipt with your camera

Take a photo of a paper receipt and let CrewRoo fill in the vendor, amount, date, and category.

Start a scan

Any of these opens the Add receipt screen:

  • The orange Scan button in the middle of the bottom tab bar (phones).
  • Scan receipt on the dashboard.
  • Scan or Upload on the Receipts screen.
  • Scan or Upload (Add on phones) on a trip, or Scan on an expense report. Receipts scanned this way are linked to that trip or report automatically — a banner at the top confirms which one.

Take the photo

  1. Tap Scan with Camera.
  2. If you haven't agreed to AI reading yet, CrewRoo asks whether it may use AI to read your receipts. Either answer lets you carry on. See How AI reads your receipts.
  3. Allow camera access if your phone asks.
  4. Hold the receipt flat in view and tap the round white shutter button. Tap the X to cancel.

There's no retake step — the photo goes straight to processing ("Uploading & analyzing receipt...", or "Uploading receipt..." with AI reading off). Keep the page open until it finishes.

Review and approve

Next you'll see Review receipt — with the details filled in if AI reading is on, or blank for you to fill in if it's off. Check them, fix anything that's wrong, and tap Approve. Tap Discard to throw the receipt away. See Review, approve, or reject a receipt.

Pick the trip (scans from the Scan button)

If you have trips, a receipt scanned from the Scan button, the dashboard, or Receipts (not from a trip or expense report) gets a Trip picker on the review screen. CrewRoo picks a trip from the receipt date: one whose dates cover it, or one that ended up to 2 days before (the ride home the next morning, say). Change it if it's wrong, or choose Not on a trip. Only receipts on a trip go on its invoice. See Link receipts to a trip or expense report.

After you approve or discard a scanned receipt, tap Scan another to go straight back to the camera, or Done to finish.

Camera not working?

If you see Camera Access Required, camera permission is turned off. Tap Upload from Gallery to pick a photo instead, or allow camera access for CrewRoo (in the iPhone app: iPhone Settings → CrewRoo; in a browser: that browser's site settings) and try again.
