Edit or delete a trip, and trip statuses

Change a trip, what happens to its invoice when you do, how to delete a trip, and what Active and Invoiced mean.

Edit a trip

Open the trip and tap Edit Trip. Change what you need and tap Save Changes. If the button is greyed out, the "Still needed: …" line under it says what's missing.

If the trip already has an invoice, a warning appears and the save button changes:

  • Draft invoice — the button reads Save & Reopen Draft Invoice.
  • Sent or paid invoice — the button reads Save & Revise Invoice.

Either way, your changes are saved first, then the invoice is voided and reopened with the same invoice number, your notes and additional expenses, so you can check it and save it again. If the trip shares its invoice with other trips, they all come back with it. Saving without changing anything leaves the invoice alone ("No changes to save"). If new dates leave out days that have flight legs, a note warns you before saving: those legs, and any flight logs on them, are deleted when you save.

Delete a trip

Open the trip and tap the trash icon at the top (on a computer you can also use the trash icon in the Trips list). Confirm with Delete.

  • Receipts on the trip are unlinked, not deleted — they stay in Receipts.
  • The trip's mileage entries are deleted with it.
  • This can't be undone.

A trip that's on a draft, sent, or paid invoice can't be deleted — the trash icon only appears on a trip with no invoice, or whose invoice is void. To delete it, delete the invoice first if it's a draft, or void it if it was sent or paid. See Delete or void an invoice.

Trip statuses

The Trips list has tabs for each status:

  • Active — a new trip, not yet invoiced.
  • Invoiced — it's on an invoice (draft, sent or paid). You can still add receipts and mileage; the trip page then offers to revise the invoice to include them.

You don't set these yourself. Voiding or deleting a trip's invoice puts it back to Active, and so does editing a trip that has one (the invoice reopens for you to save again).
